Automatic Document Creation
Every day, your organisation sends thousands of documents with lots of standard information. If you have these documents made by your own employees (other than in IT), it will take a lot of manpower and money. All data are in your systems anyway and then again, not every document requires the expertise of your employees. Therefore, Document Dialog offers you solutions with which you can create these documents automatically.
Combination of different data
The works begins with the development of templates. You will save fixed document data in the templates, such as standard text and logos as well as the conditions that dictate when a certain text must appear. Then the system retrieves the variable data from your databases. Think addresses, think amounts. The system ensures that these data all appear in the right place.
Custom-made
You can set up the process of document creation in different ways. You can decide how, depending on the document type. In short, there are three options:
- in a batch: large amounts of documents at the same time;
- on demand: in groups of a few documents, at the time of your choice;
- interactive: with the possibility for business units or customers to complete the document themselves.
Real-life case
The following example from the insurance sector shows how all three methods work together:
Mr. Fischer already has several insurance policies with the X company, so he is a well-known customer. Now he would like to take out a new policy and uses the self-service web site of the insurer. The system automatically creates a web-form with all the available customer data. This is done using the on-demand method.
Next, Mr. Fischer completes the form on the web site (interactively) and sends it off. The system ‘reads’ the form and uses the data to create a quotation per e-mail (on demand). The customer accepts the quotation and receives an invoice. If the invoice is sent by post, this will be done automatically in a batch. In the case of e-mail the invoice will be created and sent off immediately (on demand).
